Appointment, Cancellation & Refund Policy

Your time is valuable, and so is mine. To keep things flowing smoothly, I have a few simple guidelines around bookings and cancellations. I know that life is ever-changing, so while I have a policy in place, I will always meet each situation with understanding and flexibility.

  • Booking: Confirmed upon payment or email confirmation

  • Payment: Due in advance of session

  • Cancellations: Free with 48+ h notice; 50% fee for 24–48h; 100% fee within 24h (waivers for emergencies at practitioner’s discretion)

  • Late Arrival: Sessions may be shortened or cancelled; full fee applies if more than 15 minutes late

  • Practitioner Cancellation: Full refund issued

  • Confidentiality: GDPR-compliant; records kept securely for 7–10 years

  • Medical Disclaimer: Complementary therapy only—not a medical substitute; no guaranteed outcomes

  • Children: Under 16 accompanied by guardian; reduced duration or rate may apply

  • Policy Changes: Updates communicated via website; continued bookings imply acceptance

Appointment, Cancellation & Refund Policy at Wellness with Chelsea

1. Booking & Confirmation

  • Bookings can be made online, by phone, or via email.

  • An appointment is considered confirmed once payment is received or you receive a booking confirmation email (within 24–48 hrs)

2. Payment Terms

  • Full payment is due in advance of the appointment, via bank transfer or card payment, unless otherwise agreed

  • For distance or remote sessions, payment must be made in advance

  • Prices are subject to change; any increases will not affect bookings already confirmed

3. Cancellation & Rescheduling

  • All requests for cancellation or refund must be submitted via email to the email address that confirmed your appointment

  • Please provide at least 48 hours' notice for cancellations or rebooking to avoid charges

  • If cancelling with less than 48 hours' notice, a 50% cancellation fee applies; within 24 hours, 100% of the session fee will be charged

  • In cases of emergency or extreme illness, charges may be waived at the practitioner's discretion

  • No refunds apply if you miss your scheduled appointment

4. Late or Early Arrival

  • Please join the Zoom call on time to ensure you receive your full distance session. Late arrivals may result in a shortened session or forfeiture of the appointment, with full fees still due

  • Arriving more than 10–15 minutes late may result in the appointment being cancelled and a 50% fee still due

  • For early arrivals, please wait in the Zoom lobby; the practitioner may not be able to admit you immediately if another session is in progress

5. Practitioner’s Right to Refuse or Cancel

  • The practitioner reserves the right to cancel or refuse a session at any time—for example, if a conflict of interest arises or if it's felt to be in the best interests of either party

  • If cancellation is initiated by the practitioner, a full refund will be issued

6. Confidentiality & Records

  • All client information and session details are strictly confidential and compliant with GDPR and UK Data Protection legislation

  • Personal data is stored securely and retained for a period (e.g., 7–10 years, as required by insurance or professional body standards) before being deleted

7. Medical Disclaimer & Liabilities

  • Energy healing is a complementary practice and not a substitute for professional medical, psychological, legal, or financial advice

  • The practitioner does not guarantee specific outcomes or cures; individual results may vary and any discomfort experienced is considered part of the healing process

  • Clients must inform the practitioner of any relevant medical conditions, including recent surgeries or implanted devices (e.g., pacemakers)

  • The practitioner cannot be held liable for issues arising from undeclared medical conditions

8. Children & Guardians

  • Clients under 16 must be accompanied by a parent or legal guardian, who must provide signed consent and stay throughout the session

  • Children’s sessions may be shorter or discounted, as appropriate

9. Data Protection & Privacy Rights

  • You have the right to access, correct, or delete your personal data held by us; refer to our Privacy Policy for details

  • All communications and data handling adhere to GDPR and professional confidentiality standards

10. Policy Updates

  • These terms may be updated occasionally. Notice will be provided on the website and continued use of services constitutes acceptance of revised terms
